The Conference Room at Waukesha Makerspace is a shared gathering and recreational space designed to support our community of members. It offers a comfortable, multi-use environment for meetings, classes, game nights, group projects, and other small events.
The room is furnished with a Smart TV, large whiteboard, books, board games, video games, and a variety of other entertainment and educational materials to encourage creativity, collaboration, and fun.
The conference room is intended primarily for:
- Member meetings or project planning
- Teaching small classes or workshops
- Game nights and recreational activities
- Relaxation while waiting on prints, paint drying, or other projects
- Social gatherings among members and their guests
The conference room is open for casual use by any member when the room is available. Reservations are only required for hosted events, such as group gatherings, classes, or game nights where guests will be present or the space is expected to be in exclusive use.
- 📆 Advance Booking: If hosting an event, reservations must be submitted at least 2 weeks in advance and are subject to availability.
- 💵 Reservation Fees: Details on pricing for hosted event reservations can be found on the Membership Rates & Pricing page.
- Casual Use: Members may use the conference room at any time without a reservation, provided it is not already reserved and they do not exceed the room capacity or bring in guests.
- 🔐 Member Responsibility: The member who reserves the room for a hosted event is the official host and assumes full responsibility for their guests and the condition of the room.
- 🧍♂️ Room Capacity: Maximum occupancy is 12 people. This applies to both casual use and hosted events.
- All guests must remain within the conference room and restrooms.
- Use of makerspace tools or equipment by guests is not permitted, unless such use is part of the event and has received explicit prior approval from the Board.
- Guests must be accompanied by their host at all times.
- The hosting member is financially and legally responsible for any damage caused by their guests.
- Waukesha Makerspace is not liable for injuries, accidents, or incidents involving guests while on the premises.
- ✅ Food is allowed, but must be kept within the conference room.
- 🗑️ All food items, containers, and trash must be removed from the premises by the hosting member immediately after the event.
- 🧼 The conference room must be returned to a clean, organized state after each use.
- 🧽 Cleaning supplies are available—please wipe down tables, throw away trash, and reset the room to its default arrangement.
- 🔇 Noise: Keep noise levels reasonable to avoid disturbing others working in nearby areas.
- 🔒 Access: Do not block or obstruct entryways, emergency exits, or makerspace walkways.
- ⏰ Time Management: Be respectful of your reservation window. Overstaying your scheduled time may affect other members' use of the room.
- 🧾 Cancellations: If you need to cancel a reservation, please notify the board or an admin as soon as possible to free up the time slot for others.
- 🛠️ Room Issues: Report any broken equipment, missing items, or facility concerns immediately via Discord or to a board member.
By reserving and using the conference room, members agree to abide by all rules listed above. This ensures that the space remains clean, accessible, and enjoyable for all.
